How much does food safety software cost in the UK?

Most of this market does not print a price. That is worth understanding rather than resenting, because the reason tells you something about what you are buying.

Every figure above was read on the supplier's own pricing page on 15 August 2026 and is reproduced, not estimated. Trail states it invoices in pounds for the UK; FoodDocs publishes in US dollars. Check the supplier's page before you buy.

Why the other six quote

  • Hardware is in the deal. Kelsius, Checkit and Monika all sell continuous monitoring, which means sensors, gateways, installation and calibration. A number that depends on how many fridges you have is hard to print.
  • Services are in the deal. Food Alert and Shield Safety both bundle consultancy: HACCP development, audits, and access to environmental health practitioners. That is priced on scope, not on seats.
  • The scale is different. Safefood 360 is a manufacturing system with more than 35 modules and supplier assurance attached. Nobody sells that off a pricing page.
  • It is negotiable. A published price is a ceiling you cannot argue with. A quoted one moves, especially across a multi-site estate.

Questions to put in the first call

  1. What is the price per site per month, and does it change with the number of users?
  2. What does the hardware cost per monitored unit, including gateways, and is installation included?
  3. Is calibration included, how often, and what happens when a sensor fails?
  4. Is the HACCP or SFBB content included, or is that a higher tier or a consultancy day?
  5. Can I export my records in a form an environmental health officer can read without a login?
  6. What is the minimum term, and what happens to my records if I leave?

That last question is the one people forget. Your records are evidence, and the retention duty in retained Regulation (EC) 852/2004 does not stop because a subscription did.

How much does HACCP software cost in the UK?

The published prices we could read on suppliers' own pages on 15 August 2026 ran from £32 per site per month (Trail Team, billed yearly) to $250 to $299 per site per month (FoodDocs Professional). Six of the eight products we checked publish no price and quote instead, usually because hardware, installation or consultancy is part of the deal.

Is food safety software priced per user or per site?

Per site, in both cases where a price is published. Trail prices per site per month, and FoodDocs prices per site per month while stating unlimited users on every tier. Neither of the two published price lists charges per user.
